How we access, use, store, and protect data — including the financial account data we access through Plaid and the accounting data we work with through our QuickBooks Online integration.

TruBalance Accounting, LLC ("TruBalance," "we," "us") provides construction-focused controller and fractional CFO services. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It covers our website and the financial data we handle in the course of delivering our services — including data accessed through Plaid and through our software integration with Intuit QuickBooks Online ("the Integration").
We access financial data only to serve our own clients, and only after the client explicitly authorizes the connection. Bank and financial-account connections are authorized through Plaid's secure interface; QuickBooks Online connections are authorized through Intuit's secure sign-in.
We collect information in a few distinct ways:
We use Plaid to connect your financial accounts to our systems. When you authorize a connection, you do so directly through Plaid's secure interface (Plaid Link). We do not ask for, collect, or store your online banking username or password — those credentials are entered into Plaid's interface, not ours.
Through Plaid, we retrieve information such as your account and routing details, account balances, and transaction history, and we use that information solely to perform the accounting and financial services you have engaged us for. By connecting an account, you also agree to Plaid's handling of your data as described in the Plaid End User Privacy Policy.
Our access through the Integration is predominantly read-only. The only data the Integration writes back to QuickBooks is client-reviewed journal entries (for example, work-in-progress / over-under billing adjustments), and only after explicit confirmation. We use this data solely to deliver our accounting and CFO services to that client.
We use the information we collect to deliver and improve our services: to prepare work-in-progress and financial reports, analyze job and company performance, post approved journal entries, respond to inquiries and schedule financial reviews, and communicate with you about your engagement. We do not use your information for advertising, and we do not sell it.
We treat financial data as sensitive at all times. Our safeguards include access limited to authorized TruBalance personnel on a least-privilege basis; multi-factor authentication on systems that hold financial data; encryption of data in transit (TLS/HTTPS) and encryption at rest for financial data we store, including data received from Plaid; connection credentials (OAuth tokens) stored on access-controlled systems and never shared; and unique, non-shared credentials for every account. Our internal information security practices are documented in our access control and information security policy.
We share information only as needed to run our services or as required by law. That includes trusted service providers who help us operate — such as Plaid (account connectivity), Intuit / QuickBooks Online (accounting platform), Google Workspace (email and document storage), our CRM, and secure hosting or storage providers — each bound by confidentiality and maintaining its own security program. We may disclose information where required by law or to protect our rights. We do not sell client data or share it with third parties for their own use.
We retain data only as long as needed to provide our services or as required by law, tax, or professional-recordkeeping obligations. When a client disconnects a connection or ends the engagement, we revoke the associated access and connection tokens and remove them. Clients may request deletion of personal or financial information we hold by contacting us, subject to any records we are legally required to retain.
You can disconnect a linked financial account at any time by contacting us; on disconnection our access ends and any associated tokens are revoked. You can also manage the data connections you have authorized through Plaid via Plaid Portal. You can request access to, correction of, or deletion of your personal information by emailing us at the address below. You can disconnect any linked financial account at any time, and manage authorized Plaid connections through Plaid Portal.
